Privacy policy

We use the data you send us to answer your request, prepare the quote and, if you become a client, carry out the work. We do not sell it, we do not use it for advertising and we do not send it outside the European Economic Area.

We collect only what we need to answer your request:

• Contact details: name, phone, email, company, tax ID and your role in the company.
• About the job: the site address or the counties of your sites, the services requested, the description, volume, access conditions, preferred period and the files you attach (photos, site list).
• Technical data sent with the form: language, the page you sent it from, the page that brought you to the site and, if present, the campaign parameters in the link.
• Web server logs, for every visit: IP address, date and time, the page requested and the browser type.
• The data in the emails and calls through which you contact us directly.
• We do not ask for sensitive data. Please do not include people or unrelated information in your photos.

Each purpose has a legal basis under the General Data Protection Regulation (GDPR, Regulation (EU) 2016/679):

• To answer your request and prepare the quote, including the automatic confirmation with your request number: steps taken at your request before entering into a contract (Art. 6(1)(b)). When you write on behalf of a company, the basis is our legitimate interest in answering clients (Art. 6(1)(f)).
• To organise the intervention and perform the contract, if you become a client (Art. 6(1)(b)).
• To meet legal obligations, for example accounting records and waste traceability documents (Art. 6(1)(c)).
• To protect the website and the form against abuse and spam: our legitimate interest (Art. 6(1)(f)).
• We do not send you advertising or newsletters without separate consent, and we make no automated decisions about you.

• The copy of a request sent through the form: 2 years from receipt, then it is deleted automatically.
• Photos and attached files: 14 days on the website server, then deleted automatically. If we use them for the quote, we keep them with the quote.
• Emails and the quote: for as long as the commercial discussion lasts. If you become a client, for the duration of the contract and then as long as legal obligations require, for example accounting rules.
• Data used against abuse (the IP address, stored only in encoded form): a few hours.
• Web server logs: a short period, for security, then deleted automatically.

The website and the form run on our own servers. We use no outside services for the form, fonts or analytics. The data can reach only:

• Romgreen staff who handle quotes, dispatch and work planning, each only with the data they need.
• The regional partners who carry out the work with us, only with the data needed for the intervention: the site address and the contact person.
• Companies that provide IT services to us, when they need access to the servers for maintenance, under contract and bound by confidentiality.
• Public authorities, only when the law requires it.
• We do not sell the data and we do not transfer it outside the European Economic Area.

You can ask for access to your data, for it to be corrected or erased, for processing to be restricted, and for a copy in an easy-to-use format (portability). You can object at any time to processing based on our legitimate interest. If you gave us consent for something, you can withdraw it at any time; this does not affect processing carried out before.

Write to service@romgreen.ro with the subject “Personal data”. We answer within one month of receiving your request.

If you are not satisfied with our answer, you can lodge a complaint with the Romanian data protection authority, Autoritatea Națională de Supraveghere a Prelucrării Datelor cu Caracter Personal (ANSPDCP), B-dul G-ral. Gheorghe Magheru 28-30, Sector 1, Bucharest, www.dataprotection.ro.

The website uses an encrypted connection (HTTPS). Requests and attached files are stored on our server, in a folder that cannot be reached from the internet. Files open only through the unique link in our internal email, which expires after 14 days.

The website uses no advertising cookies and, at the moment, no analytics tools. Your browser only remembers your choice in the cookie banner and, while you fill in the form, the steps you have completed. The details are in the Cookie policy.

When we change how we use data, for example if we add an analytics tool, we update this page and the date at the top.
